What the invite link is
The event invite link is your event's public landing page. It's automatically generated when you publish your experience and is the only link you need to send to participants. Open it on any device, phone, tablet, or laptop, and it adapts to the viewer.
- One URL per event, safe to share over email, SMS, Slack, calendar invites, or QR codes.
- Mobile-optimized, participants can open it on the same phone they'll play on and tap straight through to the app.
- Always up to date, if you change the start time, location, or branding in Studio, the invite page reflects it instantly.
What's on the invite page
- Event summary, title, host, date, start time, and a short description so participants know what to expect.
- Event code, the short code players type into the ReadySet app to join.
- App download links, direct links to ReadySet on the App Store and Google Play.
- Location details, meeting point, event area map, and any arrival instructions you've added.
- Schedule and run-of-show, start time, expected duration, and any breaks or briefings.
- Device and permission checklist, what participants need on their phone (battery, data, location services).
- Team or group info, which team the participant is on, if you've pre-assigned teams.
- Branding, your logo, colors, and cover image so the page feels like part of your event.
- Support contact, who to reach if a participant gets stuck before or during the event.
How to send invites
Publish your experience
From Studio, publish the event. This activates the invite link and the event code.
Copy the invite link
Open the event in Studio and copy the share link. You can also download a QR code that points to the same URL.
Send it to your participants
Drop the link into your calendar invite, confirmation email, Slack channel, or printed materials. One link covers everything.
Remind participants the day before
Send the same link again with a short reminder to download the ReadySet app and enable location services in advance.
Display the QR code on site
At the event, show the QR code on signage or a screen so walk-up participants can join instantly.
Tips for great invites
- Send the link at least 24 hours ahead so people have time to install the app.
- Include a one-line description of what ReadySet is, most participants are joining for the first time.
- Use the QR code on physical signage at the venue for last-minute joiners.
- If you've branded the event, preview the invite page on mobile before sending, that's how most people will see it.
