Publishing Your Event

Publishing is the final step before your event goes live. It locks in your setup, generates the event code and invite link, and makes the experience joinable by participants.

Before you publish

  • Preview the experience end-to-end and walk at least one checkpoint in test mode.
  • Confirm the event area, schedule, teams, and scoring are set the way you want them.
  • Double-check branding, logo, colors, and cover image, since these appear on the invite page.
  • Make sure your contact info is set so participants know who to reach for support.

How to publish

  1. Open your experience in Studio

    Go to the event you've been building. Make sure all required setup steps are complete.

  2. Click Publish

    Hit the Publish button in the top right. ReadySet runs a quick validation to flag anything missing.

  3. Confirm event details

    Review the start time, duration, area, and team setup in the confirmation dialog.

  4. Generate the invite assets

    Publishing activates your event code, invite link, and downloadable QR code automatically.

  5. Share with participants

    Copy the invite link or download the QR and send it out, that's everything attendees need.

What happens after publishing

  • The event becomes joinable, participants can enter the code in the ReadySet app.
  • The invite link goes live with the full event summary, schedule, and app downloads.
  • You can still edit most settings, small changes to copy, branding, or schedule update instantly.
  • Structural changes (renaming areas, removing checkpoints) may require unpublishing and re-publishing.

Unpublishing or rescheduling

  • You can unpublish an event at any time from Studio, the event code stops accepting new joins.
  • To reschedule, update the start time and re-publish; the existing invite link stays the same.
  • If you need to clone an event for another date, duplicate it in Studio and publish the copy.
