Tips for Running a Live Event

A great ReadySet event is part planning, part hosting. These tips come from organizers who run them all the time, small things that keep energy high and friction low.

Before the event starts

  • Arrive 30–45 minutes early to test connectivity on the actual venue Wi-Fi or cellular.
  • Have a backup phone fully charged in case yours dies during hosting.
  • Print or display the QR code on signage near the entrance for walk-up joiners.
  • Send a reminder 24 hours ahead with the invite link and "download the app now" instructions.

At kickoff

  • Do a 60-second intro: what the experience is, how to score, where the area boundaries are.
  • Use Support Chat to broadcast the start signal so every team gets it at the same time.
  • Confirm everyone is on the right team before pressing go, easier to fix in the lobby than mid-event.
  • Set expectations on duration so teams pace themselves through the checkpoints.

During the event

  • Keep Support Chat open on a tablet or laptop, most issues are solved in under a minute.
  • Use Players to watch for anyone idle or disconnected, and reach out before they drop off.
  • Send a midway broadcast ("15 minutes left, head toward the meeting point") to keep momentum.
  • Project the leaderboard or live photo feed on a screen if you have one, it amplifies the energy.

At the finish

  • End with a clear signal, a broadcast and an in-person announcement at the meeting point.
  • Show the final leaderboard live and call out the top teams and standout moments from the photo feed.
  • Thank everyone and share what's next, a follow-up email, a recap, or the next event.
  • Open Event Insights right after to review what worked and pull photos for your recap.
