OneMotion IMC needed to move roughly 200 guests from one hotel to three different lunch venues in Gamla Stan in about an hour. ReadySet turned the journey into a single competitive city challenge with three separate routes.

The Brief

Get 200 people to three restaurants — and make it fun.

When OneMotion IMC planned a client event in central Stockholm, the challenge was about more than creating an entertaining team activity.

Around 200 participants needed to travel from one common starting point to three different lunch venues in Gamla Stan. They had approximately one hour to complete the journey, and every group had to arrive at the correct restaurant on time.

Rather than simply directing participants from one place to another, OneMotion wanted to turn the journey into a fun, meaningful and competitive part of the event.

ReadySet was brought in to create the entire experience.

The Challenge

One start, three destinations, no crowd clusters.

All participants started at Clarion Hotel Sign near Norra Bantorget. From there, 30 teams needed to make their way through central Stockholm before arriving at one of three restaurants in Gamla Stan.

Sending every team along the same route would have created a large cluster of people moving through the city together. Creating three completely separate games would have made onboarding, administration and competition unnecessarily complicated.

A Fully Managed Experience

OneMotion handed the game production to ReadySet.

That included direct communication with their client, so we could understand the purpose of the event, learn about the organisation and identify the stories and facts worth turning into game content.

Based on those conversations, ReadySet created a fully customised city challenge featuring company-related trivia, location-based activities and creative photo challenges.

We handled the game structure, content production, checkpoint setup, team configuration, routing, onboarding flow and final destinations. The finished experience was delivered ready to play, allowing OneMotion to focus on the wider event production.

One Game, Three Routes

Tags decided what each team could see.

ReadySet Tags control which checkpoints and destinations are visible to each team. That meant all 30 teams could take part in the same event while following one of three different routes through Stockholm.

Each route guided its teams to the correct lunch venue in Gamla Stan.

The routes began at the same location but separated shortly after the start — one heading towards Gamla Stan via Centralbron, one past the Swedish Parliament, and one approaching the final area along Skeppsbron. Although teams travelled different paths and arrived at different restaurants, they competed on the same live leaderboard from start to finish.

Onboarding

A QR code instead of an admin project.

Getting a large number of participants into predetermined teams can easily become the most complicated part of a digital event.

A team leader was appointed for each of the 30 teams. The leader entered the event code, selected their assigned team, and ReadySet generated a unique team QR code.

Everyone else simply scanned that QR code with their phone camera. Deep linking took them straight into the correct game and team — no long lists, no guessing where they belonged.

Approximately 200 people took part in the physical experience, and the platform registered 111 connected players, since not every participant needed a separate phone. The onboarding ran without generating a single support request during the live event.

All groups reached their assigned restaurants on time, and OneMotion never had to manually redirect teams or resolve technical onboarding issues. Of the participants who left a rating, roughly 92% rated the experience positively (58 positive, 5 negative). All 42 available checkpoints were activated, showing that teams engaged with content across all three routes.

The participants experienced one shared event. Behind the scenes, ReadySet made sure every team saw the correct route, reached the correct restaurant and remained part of the same leaderboard.
